Shopify payout reconciliation service · Canada

Automate Shopify payouts without hiring another monthly bookkeeper.

LZ Financial configures and validates a bookkeeping workflow that separates Shopify sales, fees, refunds, taxes and chargebacks—then matches each net payout to your accounting records and bank.

The problem

A Shopify deposit is not the same thing as Shopify revenue.

Shopify sends a net payout after combining many transactions. Recording that deposit as sales hides the gross revenue, processing fees, returns, sales taxes and unsettled funds behind it.

Net deposits hide detail

One bank amount can include dozens or hundreds of orders with fees, refunds, disputes and adjustments deducted.

Apps can duplicate activity

Shopify, QuickBooks and the bank feed may each create transactions unless the integration and matching sequence are controlled.

Timing creates false differences

Order dates, refund dates, processor settlement and bank deposits frequently land in different reporting periods.

What the setup includes

A complete workflow from storefront activity to reconciled cash.

The objective is not simply to connect another app. It is to create a traceable process in which routine transactions follow approved mappings and exceptions remain visible for review.

Workflow assessment

We document your storefronts, processors, payout currencies, accounting software, current integrations and month-end pain points.

Account mapping

Sales, discounts, shipping, tax, fees, refunds, chargebacks and transfers are mapped to the intended accounting treatment for approval.

Connection and rules

Agreed systems are connected and routine categorization and payout logic are configured around the data available.

Opening-period validation

One complete period is traced from source reports through the processor balance, accounting records and bank deposits.

Exception workflow

Refunds, disputes, missing mappings, foreign currency, holds and other non-routine activity are routed for review instead of silently forced through.

Handoff and documentation

You receive a walkthrough of what runs automatically, what requires approval and how to identify a genuine reconciliation exception.

Good fit

Designed for operators who need a reliable system—not another recurring service.

This setup may fit when

  • You sell through Shopify and use QuickBooks, Xero, Sage or another accounting system.
  • Shopify, Stripe or PayPal deposits do not cleanly match the books.
  • Someone is manually splitting fees, refunds and chargebacks every month.
  • Your accountant needs consistent, review-ready records rather than unexplained net deposits.
  • You want a one-time implementation with optional support only when needed.

It may not fit when

  • You want full-service monthly bookkeeping, tax preparation, assurance or legal advice.
  • You cannot provide authorized access to the systems included in the setup.
  • The underlying accounting file requires a large historical cleanup before automation can begin.
  • You need custom software development beyond the agreed workflow scope.
  • You are not prepared to review and approve account mappings and the go-live period.

Frequently asked questions

Before you book a demo

Does LZ Financial replace my accountant?

No. The service configures and validates bookkeeping workflows. Your business remains responsible for reviewing outputs and approving accounting and tax treatment with its accountant or professional adviser.

Do I need to change accounting software?

Not necessarily. The assessment starts with the platforms you already use. Feasibility depends on the quality of their available data, integrations and the condition of the existing books.

Will every transaction run without review?

No reliable workflow should hide genuine exceptions. Routine activity can be automated after validation, while missing mappings, unusual refunds, disputes and other exceptions remain visible for review.

Can you include Stripe or PayPal alongside Shopify?

Yes, when those systems are part of the agreed scope and provide the data needed for the workflow. Each processor and payout currency is reconciled separately before bank settlement is matched.

What if my current books are already behind?

The assessment will identify whether a cleanup is required before automation. Historical cleanup outside the agreed setup is scoped and approved separately rather than hidden inside the standard implementation.
